Reporting to the Executive Director, the Operations Manager is part of the senior management team who provides leadership to the operations staff and oversees all operational and support functions across the organization. The OM is responsible for maintaining the organization’s effectiveness by ensuring administrative procedures are followed and operational functions are performed. S/he also contributes to the development and implementation of organizational strategies, policies and practices.
Key areas of responsibility:
Administration and Operation
- Oversee and manage operational and support activities across the organization including office administration, maintenance, purchase, security, space management and event logistics
- Oversee the planning and organization of major events; provide leadership in troubleshooting and problem solving
- Oversee international cooperation programs and activities; develop domestic as well as international business opportunities
- Provide leadership to operations staff and collaborate with the Executive Director in strategically building the capacity of the organization as well as individual staff
- Provide advice and administrative support to the ED
- Organize learning, development and team building activities, ensuring effective teamwork, high standards of work quality, and a collaborative working environment
- Lead in the development, improvement and adherence of policies, procedures and processes; adopt best practices to increase organization effectiveness and efficiency
- Develop and update organization human resources, administrative and financial policies and procedures; implement attendance tracking
- Participate in staff complement planning, staff recruiting, conduct staff annual reviews
- Identify, evaluate and implement measures to control risks to the organization’s property, finances, information and data confidentiality, goodwill, and image
- Ensure that the organization complies with employment standards, taxation, human rights, health and safety, and other legislation
- Develop and implement volunteer system, upkeep office record management, and implement inventory system
- Support the Board and CPAC Foundation, and in charge whole operations while ED is away
Resource & Partnership Development
- Work closely with the ED to identify and obtain individual and corporate contributions
- Research and pursue sponsorship opportunities, develop sponsorship proposals and agreements, and secure annual and event specific sponsors and in kind donations
- Plan, design and execute fundraising events and activities, particularly the annual fundraising gala
- Track and manage sponsor obligations and ensure contractual obligations are fulfilled
- Manage and maintain sponsors database; cultivate and maintain positive relationships with funders, sponsors, donors, partners and other stakeholders
- Lead in the development and execution of strategies and plans to stimulate membership growth and member participation
- Plan and conduct membership drives/campaigns
- Develop and promote membership service and member benefit programs and partnerships that support membership growth
- Work with others to develop and implement member & community service events and programs, including interest based seminars and workshops
Marketing, Communication & Public Relations
- Develop and manage CPAC’s overall communication, marketing and brand building strategies, initiatives and activities
- Lead in the development of marketing and communication materials, including correspondence, statements, annual report, print materials, web communications, email campaigns, e-newsletters, etc.
- Work with IT support to update and improve organization website structure, contents and appearance, and develop and implement website and social media strategies
- Collaborate with the ED to build and maintain positive relationships with all stakeholders including all levels of government, political and community leaders, funders, sponsors, partners, donors, supporters, media, community organizations, service providers, members, clients and the public to advance CPAC’s mission and fund development goals
Qualifications
- Minimum 5 years of supervisory/management experience
- Strong leadership and management skills, with ability to cultivate a positive working environment internally and grow and nurture relationships externally
- Excellent business acumen and effective negotiation skills
- Experience in fundraising, business development and event planning, preferably in a not-for-profit setting
- Ability to prioritize and manage multiple tasks simultaneously
- Strong problem solving skills, able to find creative solutions to complicated problems
- Strong people manager that can provide leadership, support and coaching as needed
- Excellent interpersonal skills and proven record of being able to work well and tactfully with different personalities
- Outstanding written and verbal communication skills; fluency in Chinese required
- A self-starting leader with strong initiative, creative ideas, enthusiasm, and a commitment to excellence
- Emotional maturity, good judgment, professionalism and the ability to make wise decisions
- Ability to plan, develop and implement and evaluate strategic initiatives
- Knowledge of non-profit best practices and financial management
- Advanced computer, internet marketing, and social media skills
- Experience in marketing and sales an asset
- Desktop publishing, graphic design and website maintenance skills are assets
